This Privacy Policy explains how PilotCV (“we”, “us”, “our”) collects, uses, and safeguards information in connection with our desktop application, website, and related services (the “Service”). PilotCV is operated from Cape Town, South Africa.
1) What we collect
We collect only what we need to operate the Service, support you, and prevent abuse:
- Purchase & licence details: when you buy via PayFast, we store the payment reference and your licence token so you can re-activate later and so we can verify that a licence is genuine.
- Export activity (anti-abuse telemetry): when you click Export in the app, we log your licence key, the name and email you place on the exported document, timestamp, app version, and a non-precise IP (first address only). We do not collect the CV content.
- Download counts (website): when you click a Download button on our site, we may log OS hint, version, referrer, user-agent, and first IP so we know how many installs happen.
- Support messages: if you email us, we receive whatever you send.
2) What we do not collect
We do not collect CV content, cover-letter text, or any data you type into the desktop app. Your documents stay on your computer.
3) Legal basis & purposes
- Contract: issuing and validating your licence; providing support.
- Legitimate interests: preventing abuse and licence sharing; understanding installs by platform to support users better.
- Legal obligations: basic record-keeping for payments.
4) Retention
- Licence records: retained while the product is supported, to help you re-activate.
- Export activity logs: retained for 24 months (to spot repeated abuse), then deleted or de-identified.
- Download logs: retained for 12 months for aggregate stats, then deleted or de-identified.
- Support emails: kept only as long as needed to resolve your request.
5) Sharing
We do not sell or rent your data. Limited information may be shared with:
- PayFast for payments; and
- Email/SMTP providers to send your licence and support messages.
6) Security
We use reasonable technical and organisational measures (TLS, access controls). No method is 100% secure.
7) International & transfers
We operate from South Africa and may use infrastructure in other regions (e.g., EU data centres used by our backend provider). By using the Service, you consent to this processing and storage.
8) Your choices & rights
- Ask what licence information we hold for you.
- Update the email linked to a licence (with proof you’re the purchaser).
- Request deletion of support emails we still have.
- Opt out of business-licence marketing at any time (we don’t run newsletters by default).
9) Cookies & analytics
We do not run third-party analytics or ads. We use essential cookies only where required for the website to function.
10) Enforcement transparency
If export logs suggest commercial use on a personal licence, we will contact you with a warning and the option to upgrade. Repeat or egregious violations may lead to licence suspension or revocation. See Terms for details.
11) Changes to this policy
We may update this policy from time to time. The current version will always be available on this page.
